1. Apologies for Absence

2. Minutes from the Annual General Meeting (16.03.09) approved
The minutes from the AGM were approved. Ursula Windsor proposed the approval of the minutes, seconded by Amanda Procter.
3. Matters Arising
Association Records and Legal Status
David Mouland of Luttons Solicitors had received a response from David and Marilyn Champion stating that they did not have any association records. Anthea proposed that this matter should now be closed. Chris seconded this.
Jim was to contact Entrust to see if they had copies of any documents, and Terry was to provide a list of what records he thought were missing, for the record.
The advice given by David Mouland was that we should draw up a proper constitution in the future, and agreed at an AGM. The insurance cover that we already have is adequate to cover any eventuality.
David was asked to give his interpretation of the existing covenant describing rights of owners and tenants to use all the garden.
Tree Survey
Jim has not yet been able to arrange this.
Bins
Enterprise have agreed to empty the three bins by the gates weekly for a sum of £78pa. This has now been arranged. Jim to ask Andrew to put the black wheelie bin out for emptying with the regular collections on Tuesdays.
Storytelling in the Garden
Christine to follow this up as she had not had a response.
Hedging trees
Amanda had not yet contacted Justin Hobbs about getting these.
Fosseway Housing Representation at Meetings
Christine had issued them an open invitation.
Invoices
These had now been sent out, and some subscriptions already received.
Report to GCC
The report has been sent in. David Champion had subsequently contacted GCC, as a land owner, saying that he had not been consulted about the wild flower meadow, which he did not like. As a result, some of our Grant money had been withheld. In discussions with GCC it was agreed that a retrospective survey of the local people be carried out to see if this view was held by more people. An Open Surgery will be held on 9 May, manned by Christine and Jim. Flyers advertising it would be circulated door to door by Terry, and an email/letter sent to those owners whose addresses could be established.
Beech Tree
Terry reported that Justin Hobbs had advised us to leave the pruning of the beech tree until the autumn.
Maintenance Log
It was not known if Russell had created this yet.
Clearing Shed Area
This had been done, many thanks to Terry and Steve.
Memorial to Peter and Beryl Kennedy
It was agreed that as a tree guard would cost more than the tree that this should be abandoned. Freda and Jim would arrange to send a copy of the invoice for the tree to David Kennedy.
Donations to Christchurch and the Salvation Army
The cheques had now been sent off.
Gloucester Arts Festival Craft Fair
To be held on 16 May. Jim is to talk to Markeys about the possibility of using the parking at the back of their property. Jim to arrange to borrow a marquee and erect it for them. Christine to ask Steve to help!
Tree Carving

4. Summer Praise on the Lawn
Robert Simpson, rector of Christchurch explained that he liked to hold events for the community, like an open air service in the summer. He asked if we would be willing to host one in the gardens. All agreed, and the date was to be 17 May at 4.00pm. Amanda and Anthea agreed to liaise with Robert about the order of Service, and Jim agreed to borrow the Marquee.
5. Treasurers Report
See Attached – some subscriptions received already.
6. Fund Raising
Freda proposed holding another Yorkshire tea party after the success of last year’s event. The date is to be 4 July at 2.00pm. The Salvation Army band will be invited to come along and play.
7. Garden Maintenance and Management
Benches
One of the original white benches was broken, and the other one has been stolen. It was agreed that Margaret and Terry would report the theft to the police, and try and get the Citizen to publicise the loss in the hopes that someone had seen something. Margaret and Jim would investigate the cost of replacement.
Wild Meadow
The wild meadow area had been stripped and a woodland and hedgerow seed mixture had been sown with some cornflowers, which should give a nice show.
Hanging Baskets
Jim was to talk to Enterprise re watering, and the CCCP re their donation.
8. Correspondence
A letter had been received from .Gloucester Archaeological Research Group asking permission to carry out a non-invasive archaeological survey, as it was possible that part of the site of a Roman Amphitheatre was located in the south east corner. It was agreed that this could go ahead.
The CCCP had asked if they could borrow the marquee for the launch of the new orienteering course in Gloucester Park on May 30. They would donate £200 to the BSCLA for the privilege. All agreed that this was very generous of them. Jim to arrange volunteers to erect it and take it down.
9. Any Other Business
RGL Picnic
The RGL had asked if it would be possible for them to hold a picnic in the gardens on 5 July. This was agreed.
Secretary
The post of Secretary was still vacant. It was agreed that Amanda would be the Minutes Secretary, and Leslie Venon would deal with all other secretarial business.
