1) Apologies for Absence

2) Minutes from the Meeting held on 3 June

The minutes from the previous meeting were approved.  Proposed by Leslie Venon, seconded by Freda Caulkett.

3) Matters Arising

a) Missing Association Documents

These were thought to be the Deed of Covenant, the accounts and a Health and Safety Policy provided for the Entrust grants, and a tree survey with a five year action plan.  Jim to write to Entrust to see if they have copies of the documents sent to them.

b) Tree Survey

This has now been carried out, with the report expected in a week’s time.

c) Beech Tree Lopping

Not urgent – awaiting advice from tree survey.

d) Maintenance Log

Russell is now maintaining a log.

e) Tree Carving

Unfortunately, the tree (horse chestnut) is not suitable for carving.

f) Bin Collection

Complete

g) Storytelling in the Garden

It was agreed to pursue this again next summer.

h) Memorial to Peter and Beryl Kennedy

We have now received a cheque from David Kennedy for the tree, along with a letter of thanks.

i) Benches

We have now received a catalogue of recycled plastic benches.  It was proposed that one was purchased initially to try out, and if satisfactory, more could be bought.  Terry and Jim to investigate fixing methods.

j) Music event

To be held on 12th September, 6:00 – 9:00pm.  There would be 2 music sessions of 45 Mins and an interval.  The costs would be £21 fo a licence, £200 for the band and the cost of hiring a toilet.

The event could be advertised at the Gloucester Day Parade, using flyers.  If anyone is attending this, contact Jim.

There will need to be a number of volunteers for serving behind the bar and food counters, stewards, and gate minders.

Leslie to email and confirm the volunteers.

Leslie, Jim and Chris to meet to sort out the details.

Leslie to invite the local dignitaries.

k) Wild Meadow Signs

These were now in place, thanks to Steve and Chris.

4) Treasurers Report

See Attached (NB: Dates should read ‘Between 01/01/2009 and 04/08/2009’).

Reminders to be sent out to those who have not yet subscribed – Terry and Jim

We had not received the outstanding grant money yet, as there were a few conditions still outstanding.

5) Fund Raising

a) Tea Party – 4 July

£62.55 was raised at the tea party, which would be put into the Co-op Account

6) Garden Maintenance and Management

a) Wild Meadow

Terry had established that the meadow would need to be cut to 5” – 6” after flower4ing and maintained at this height all next year so that the perennial plants would have an opportunity to flourish and flower the following year.

b) Hanging Baskets

These were now in place and looking beautiful.  Jim confirmed that despite requesting information about this year’s Gloucester in Bloom, none had been received.

7) Correspondence

A letter of thanks had been received from David Kennedy, attached to these minutes.

8) Any Other Business

a) New Agenda Item

It was agreed that Social and Community Events would be added to the Agenda.

b) Hartpury College

They are keen to work with us again next year. Possibilities are new plans for and installation of ‘Bug City’, and hanging baskets. The nursery we obtained the plants for the hanging baskets from have offered to provide students with a plant list, so we can replicate their plans exactly next year. Terry to liaise with the college.

c) Enterprise

It was felt that they had done such a good job with the hanging baskets, that we should send them a letter of congratulations, copying it to the relevant Council Department.

d) Carol Service

It was agreed that we should hold another Carol Service this year, on 12th December – if the Salvation Army were able to.  Amanda to contact them.

9) Date of Next Meeting

The next meeting will be held on 5 October 2009 in Christchurch Hall
